About the French International School

Established in 1963, the French International School (FIS) is the oldest international school in Hong Kong and was the first school in Hong Kong to offer the IB (in 1988). It is a dynamic educational institution, which welcomes over 2,900 students from around the world. It offers both French and international curricula and is one of the largest French schools in Asia.

FIS currently operates four campuses, next year all of which will accommodate students in the International Stream. Regarding the three primary schools, one is surrounded by greenery in Jardine’s Lookout and another campus is by the sea in Tseung Kwan O and the third is a beautiful campus in Chai Wan.

FIS is a private, not-for-profit organization. In the last five decades, it has grown from a small school with 35 students to one of the most renowned international schools in the region. Its students are from 40 countries speaking some 30 languages – it is a truly multicultural learning environment.

FIS operates two streams, French and International. The French Stream follows the French national curriculum and has approximately 1700 students. The International Stream follows an English and Mathematics curriculum based on the English national curriculum and also the International Early Years Curriculum (IEYC) and International Primary Curriculum (IPC) leading to the International Middle Years Curriculum (IMYC) in years 7 and 8, then to IGCSE and finally the International Baccalaureate in Years 12 and 13. It currently has over 1000 students registered. In 2020/21 the international stream successfully went through the IEYC/IPC Accreditation process.

Job Description

Are you a highly organized, diplomatic, and strategic professional with a flair for high-level administration in an international environment? We are seeking an exceptional individual to serve as the Executive Assistant to Head of School. This pivotal role provides comprehensive high-level administrative, operational, and strategic support, ensuring the seamless coordination of the Head’s office with internal governance bodies and external official partners, all while upholding the strictest confidentiality and professional protocol.

 

Responsibilities

Key Duties & Responsibilities:

Executive & Strategic Support:

  • Manage the Head of School’s complex agenda, prioritizing engagements to maximize strategic impact.
  • Prepare, draft, and finalize high-level/confidential correspondence, presentations, reports, and speeches in both French and English.
  • Conduct research and synthesize information to support the Head’s strategic decision-making process.

Official Liaison & Institutional Governance:

  • Serve as the primary point of contact and coordination between the Head’s office and major official bodies (e.g., EDB, French Consulate).
  • Ensure compliance with school bylaws and governance frameworks, monitoring timelines and reporting obligations.
  • Coordinate and administer key school governing bodies and committees (Board, Operational Bodies, Senior Leadership), managing their full life cycle.
  • Record, transcribe, and distribute official meeting minutes with high accuracy and confidentiality, tracking all action items.

Office & Project Leadership:

  • Oversee the efficient operation of the Head of School’s office, acting as a professional gatekeeper and communication channel.
  • Lead or support discrete strategic projects on behalf of the Head of School, ensuring cross-functional coordination.
  • Plan and coordinate high-profile school events, visits from dignitaries, and official functions.

Communication & Diplomacy:

  • Handle sensitive information with the utmost discretion and professionalism.
  • Act as a diplomatic representative of the Head’s office, fostering positive relationships with all stakeholders (parents, staff, students, external partners).
  • Ensure seamless communication flow within the leadership team and across the school community.
Requirements

Core Competencies & Requirements:

Professional / Technical Skills:

  • Fluent, precise communication in both French & English (written and spoken). Cantonese is a plus.
  • Executive liaison experience: proven professional interface with official/diplomatic bodies.
  • Strategic coordination skills: experience in managing board/committee cycles, professional minute-taking, and high-level scheduling.
  • High proficiency in MS Office applications and G Suite.

  • Trustworthy with sensitive data and confidential information.
  • Proactive in anticipating needs and resolving issues.
  • Culturally aware and tactful in all interactions.
  • Resilient under pressure and capable of managing competing priorities.

Conditions:

 

  • 39 hours per week – Full time
  • Entitled to 5 weeks of holiday per year
