About the French International School

Established in 1963, the French International School (FIS) is the oldest international school in Hong Kong and was the first school in Hong Kong to offer the IB (in 1988). It is a dynamic educational institution, which welcomes over 2,900 students from around the world. It offers both French and international curricula and is one of the largest French schools in Asia.

FIS currently operates four campuses, next year all of which will accommodate students in the International Stream. Regarding the three primary schools, one is surrounded by greenery in Jardine’s Lookout and another campus is by the sea in Tseung Kwan O and the third is a beautiful campus in Chai Wan.

FIS is a private, not-for-profit organization. In the last five decades, it has grown from a small school with 35 students to one of the most renowned international schools in the region. Its students are from 40 countries speaking some 30 languages – it is a truly multicultural learning environment.

FIS operates two streams, French and International. The French Stream follows the French national curriculum and has approximately 1700 students. The International Stream follows an English and Mathematics curriculum based on the English national curriculum and also the International Early Years Curriculum (IEYC) and International Primary Curriculum (IPC) leading to the International Middle Years Curriculum (IMYC) in years 7 and 8, then to IGCSE and finally the International Baccalaureate in Years 12 and 13. It currently has over 1000 students registered. In 2020/21 the international stream successfully went through the IEYC/IPC Accreditation process.

Job Description

The ECA Officer supports the ECA Assistant Manager in the design, coordination and promotion of the school’s ECA Department offerings across all FIS campuses. The role ensures smooth administrative and operational management, clear communication with stakeholders, and the consistent delivery of high-quality enrichment experiences aligned with FIS values.

Responsibilities
  • Respond promptly and professionally to enquiries about the ECA Department offerings.
  • Assist in the coordination, promotion, and implementation of all ECA Department offerings, including activity selection, scheduling, and communications.
  • Support the setup and maintenance of the EDUKA platform.
  • Create and update promotional materials and visual content.
  • Confirmation of facilities and transport bookings, including off-site facilities.
  • Compile contracts and relevant documentation.
  • Prepare, update and communicate termly master lists, registration data, and reports; manage registration changes.
  • Liaise with the Bus Department, Bus Companies and other providers to confirm shuttle bus quotas, timetables, and logistics.
  • Oversee daily ECA operations on campus, ensuring smooth procedures for student supervision, attendance, safety, and coach coverage.
  • Coordination of Student Helpers to support the ECA Department offerings.
  • Maintain effective communication with all stakeholders.
  • Monitor ECA sessions, including assembly and dismissal, to ensure student safety and adherence to schedules.
  • Support the quality assurance of ECA programmes by observing sessions, tracking attendance, and collecting feedback.
  • Processing of financial transactions and validation of invoices.
  • Assist with any ad-hoc tasks required by the department.
Requirements
  • Minimum of three years’ experience in a similar administrative or coordination role.
  • Strong proficiency with Google Suite, database, mail merge and report generation.
  • Fluent spoken and written English; French, Cantonese or Mandarin a plus.
  • Solid organisational and data management skills.
  • Experience handling vendor contracts, scheduling systems and activity coordination.
  • Highly organised with strong attention to detail and accuracy.
  • Able to manage multiple tasks and deadlines in a dynamic environment.
  • Strong interpersonal and communication skills across cultures and age groups.
  • Resilient, adaptable, and calm under pressure.
  • Be legally permitted to work in Hong Kong.
